Part-Time Advancement Operations Coordinator

POSITION PURPOSE The Advancement Operations Coordinator provides administrative support to maintain an efficient and effective advancement office.
This position represents the first step in the gifting process, that demonstrates to donors the gratitude associated with gifting to Lakeland University.
This part-time position (maximum 29 hours a week) works in collaboration with the Advancement team, in particular the Associate Vice President of Advancement and the Director of Alumni Engagement and Annual Giving.
Weekly, this position is responsible for staffing the reception desk, gift entry processes, general office work, and assistance in coordinating larger mailings or engagement lists.
Finally, unique to this position, is building upon advancement operations to plan logistics for constituent events under the direction of the Director of Alumni Engagement and Annual Giving.

ESSENTIAL FUNCTIONS Advancement Operations Staff Advancement reception desk, answering phone, directing inquiries, scheduling meetings and supporting advancement visitors to campus Monitor alumni, advancement and special events email in-boxes for contact updates, inquiries and event reservation submissions Execute weekly as needed:
accurate data entry, gift entry, gift acknowledgment, gift reporting, pledge entry, pledge reminders in database (Jenzabar One) Prepare final data cleanup of constituent mailing lists with Director of Alumni Engagement and Annual Giving Organize and execute any inhouse mailings Maintain electronic and paper files Assist in special in-kind gifts and planned giving documentation Engage with advancement services professional development opportunities Event Planning With Director of Alumni Engagement and Annual Giving organize master calendar, event briefs, and workorders to execute constituent engagement events and stewardship activities, in particular:

Homecoming (includes Emeritus, Athletic Hall of Fame & Alumni Awards) Blasters Golf Tournament 3 Colloquia Opening Convocation Casual Alumni and donor engagements Other events as assigned Donor and Stewardship Events:
Presidential Receptions 1862 & Founders' Society Scholarship Luncheon Other events as assigned SPECIALIZED KNOW-HOW & SKILLS Qualification Required:
Associate's degree Proficiency in Microsoft suite, in particular Teams, Word mail merge, Excel, and Forms Relevant fundraising experience and/or office administration experience Strong communication skills:
written, verbal, and interpersonal Excellent organizational skills Ability to work independently and operate effectively within a team environment Strong attention to detail with problem solving skills Availability for some required evening and weekend hours Qualifications Preferred:
Bachelor's degree Event planning experience Volunteer management Experience in the areas of data management and analytics Proficiency in Jenzabar One and InfoMaker PHYSICAL DEMANDS AND WORK ENVIRONMENT No or very limited exposure to physical risk; Limited physical effort required; Work is normally performed in a typical interior/office work environment.
